The DirectScale Platform uses its Database and search index to perform its associate search function. If either of these are manually altered, or there are network errors, they can become un-synced. The Associate Search Tools page helps you manually update and test the Database and search index, making sure they are in sync and up-to-date.

Finding the Page
In Corporate Office, navigate to: Administration > Advanced Settings > Associate Search Tools.
Associate Search Settings
For the Associate Search Tools page tools to properly function, the associate search settings need to be properly configured; these setting are configured upon implementation.
If you want to ensure they are implemented, click the Search settings link in the Search Information section.
This will navigate you to the Associates CRM tab under Advanced Settings.
Under the Search section of the tab, these checkboxes and fields should be enabled and filled:
- Enable TypeAhead on Disco UI checkbox
- Search Service Name
- Admin Key
- Query Key
The remaining fields are left blank by default.
These settings should never be altered without consulting Customer Care, please reach out to them if you have any questions.
Associate Search System Updates
There are two types of updates that the system will automatically perform to keep the database and search index in sync and up to date. These are:
Real-time Update – Whenever an associate record is updated in Corporate Office, the search index will update automatically. This process typically takes less than a second for a single associate.
Nightly database Update – DirectScale uses an Azure search indexing tool to sync the database at night. If anything is missed during the real-time update due to a network issue, the nightly update will find it and update the search index.
Manual Update Operations
There are multiple tools you can use to manually update and sync the database and search index, these are:
Refresh Index (Soft) – Manually perform the Nightly Database Update.
Refresh Index (Hard) – Refresh the entire database.
Remove Associate – When clicked, a text field pop-up displays. Typing a name in this field will remove the associate from the search index. This is helpful if associates were manually deleted from the database, but still show in the search index.
Rebuild Index – Delete the existing search index and then recreate and populate it. This function is also very helpful during implementation if a mass importation of associate data was used.
As the Search Index is rebuilding, Corporate Office is still functional. The search results when used might not bring back the expected results.
The repopulation process takes longer depending on the size of your search index. It’s recommended to begin this process when the system is not active (for example, at night). It’s also recommended to receive corporate approval before this process is started.
Run a Search Test Field
By typing associate names in this field, you can test the associate search tool to ensure the data base and search index are in sync.
